Terms and Conditions

Reservations and payments
APT strives to provide our travelers memorable and enjoyable vacations at the lowest possible cost. We realize that pre-planning helps reduce the cost for both the air and land segments of the tour. Reservations are encouraged well ahead of the tour date since only a few tours will be conducted each year. A $300 per-person deposit is required to secure your reservation for a tour. All prices quoted on this site require full payment by check no less than 90 days prior to tour departure date. Trip cost is reduced by 10% for all reservations fully paid six months or longer prior to tour’s departure date.

Tour prices are per-person and based on double occupancy.

Any changes made outside of 90 days prior to departure, which affect destination, departure date and/or name(s) of tour participants, will result in applying a $50 per person administrative charge. While every effort will be made to accommodate requested changes, all changes are subject to availability and cannot be guaranteed. Changes within 90 days are subject to APT cancellation policy.

Late Bookings
Normally, our tours fill very quickly. Therefore, we often close tour reservations often 9-12 weeks prior to tour departure date. However, last-minute bookings may be possible due to unforeseen circumstances. On these occasions, late bookings may be honored, however, late fees due to higher airfare costs and other unplanned expenses may be incurred.

Cancellations and Refunds Policy
Cancellations will be processed the day we receive a signed written notice. All refunds will be processed within 30 days of receipt of your written note of cancellation.

Processing Fee
There is a non-refundable fee of $125 per person for each tour cancelled. This fee is merely to defray the administrative costs and is not intended as a punitive measure. Refund schedule is as follows:

No refunds are made for any unused portion of the tour.

Insurance
You must be covered by a medical insurance plan, which is valid overseas. A proof of such coverage is required for each person as a condition of booking your tour. We strongly recommend that you obtain travel insurance, including coverage for trip cancellation, loss and theft of baggage, and emergency evacuation. APT cannot be responsible for these expenses.

Health and Fitness
We will send you a complete information package on the physical requirements for your tour along with your tour information package. The tour is designed to include a range of activities to choose from. However, each person should consult with own doctor to solicit advice on suitable level of exertion. Please be advised that APT cannot provide medical support along the tour. Travelers are presumed to be in good health to participate in the APT tours.

Group Size
We limit the size of each tour to no more than 16 participants plus at least one tour guide. However, APT reserves the right to cancel a tour if a minimum number of participants are not booked for that tour. Decisions to proceed or cancel a given trip are made by APT 30 days prior to departure.

Extra Services
APT adds a surcharge fee of $50 per person for special booking services such as reconciling reservations different from the planned trip schedule. Please note that airport transfers are not included if you are not traveling with the group.

Passports and Visas
A valid passport is required on all APT trips. Please provide a copy of the authentication page of the passport along with your booking deposit. Non U.S. citizens are advised to contact the appropriate consular office for entry requirements pertaining to their tour. We strongly recommend our travelers to check the validity of their passports early to avoid last-minute difficulties.

Air Arrangements
In order to provide you the lowest domestic airfares, we block our tour seats well in advance with restricted fares that carry substantial cancellation charges. Therefore, any changes or cancellations will result in the traveler’s assumption of these costs. Deviations from planned departures, airport transfers, airline, or airplane connecting flights impose substantial burden and cost and should be avoided or minimized if at all possible. All air routings art subject to availability and thus cannot be guaranteed by APT.

Responsibility
APT responsibility is strictly limited. As a tour operator, APT organizes, promotes, and sells tours consisting of certain travel services, including but not limited to: surface transportation, air transportation, water transportation, excursions, and accommodations. APT purchases or reserves these services from various suppliers. The suppliers providing travel services to APT are independent contractors and are not bound by APT. As such, APT is not responsible for the willful or negligent acts and/or omissions of any air, ground, or water-based carriers or other supplier or any of their respective employees, agents, servants, or representatives including, without limitation, their failure to deliver services or their partial or inadequate delivery of these services. All coupons, receipts, and tickets are issued subject to the terms and conditions specified by the suppliers.
By utilizing the travel services of the suppliers. You agree that neither APT not any representative of APT shall be liable, and that you will look to such suppliers, for any accident, injury, costs, property damage, or personal loss to you, or those traveling with you, in connection with any accommodations, transportation, or other travel services, or resulting directly or indirectly from occurrences or conditions beyond APT’s control, including but not limited to, acts of terrorism, political unrest, war, defects in vehicles, breakdown in equipment, strikes, theft, or delay or cancellation of, or changes in, itinerary or schedules.

APT reserves the right to correct promotional or pricing errors at any time or to increase the tour price in the event of cost increase due to changes in airfares, ground transportation cost, currency fluctuations, imposition of taxes or fees, or other unforeseen expenses. APT reserves the right to decline to accept or retain any person as a member of any tour or to cancel or alter the tour without notice. APT is not responsible for expenses incurred by trip members in preparing for the trip (e.g., non-refundable advance purchase of air tickets, visa fees, equipment, or medical expenses.) or for any necessary additional travel arrangements should you embark from home independently without the group before or after the departure date. Hotels and other accommodations are subject to change.

Medical services or facilities may not be readily available or accessible during all or part of your trip. You are responsible to select and participate in the trip or offered activities which are appropriate to your abilities and interests. You are responsible for being in sufficient good health to undertake the trip, to prepare for the trip by studying the itinerary and read-ahead package sent by APT, and for bringing appropriate clothing and equipment as advised therein. APT reserves the right to take photographic or film records of any of its trips, and to use such records for promotional and commercial purposes.
